Version effective as of the date of registration

These Terms and Conditions (“Terms”) govern participation in the European Business and Trade Forum events, including the 2026 edition in Prague (Czech Republic) and Luzern (Switzerland) and any related activities, transfers, meetings, or programmes organised by or on behalf of the European Business and Trade Forum (the “Organiser”, “we”, “us”, or “our”).

By completing the registration process and accepting these Terms (including by electronic acceptance, checkbox, or signature), you (“Participant”, “you”, or “your”) confirm that you have read, understood, and agree to be bound by them. If you are registering on behalf of a company or other entity, you represent that you have authority to bind that entity.


1. Definitions


2. Eligibility and Registration

2.1 Participation is primarily intended for business representatives, exporters, importers, investors, manufacturers, service providers, and related professionals with legitimate commercial interest in B2B and/or B2G matchmaking.

2.2 The Organiser reserves the right to accept or decline any registration at its sole discretion, including on the basis of capacity, suitability of profile, or any other reason.

2.3 You must provide accurate, complete, and up-to-date information during registration. You are responsible for keeping your contact details current.

2.4 Registration is personal (or company-specific as indicated). Transfer of registration to another person requires prior written approval from the Organiser and may be subject to conditions or additional fees.


3. Fees, Payment and Invoicing

3.1 Applicable participation fees (if any), sponsorship packages, or other charges will be communicated during the registration or application process.

3.2 Payment must be made according to the stated terms (e.g., bank transfer, card, or other methods indicated). Registration is confirmed only upon receipt of full payment (or acceptance of terms where free or invitation-only places apply), unless otherwise agreed in writing.

3.3 All fees are exclusive of applicable taxes (VAT or equivalent) unless stated otherwise. You are responsible for any taxes due in your jurisdiction.

3.4 Invoices will be issued in accordance with applicable law.


4. Cancellation, Withdrawal and Refunds by the Participant

4.1 Cancellation requests must be submitted in writing (email accepted) to the contact address provided by the Organiser.

4.2 Refund policy (unless a different policy is expressly stated for a specific edition or package):

4.3 The Organiser may, at its discretion, offer transfer to a future edition or credit instead of a refund.

4.4 Force majeure or official travel restrictions affecting the Participant do not automatically entitle the Participant to a refund beyond the standard policy, unless required by mandatory law.


5. Changes, Postponement or Cancellation by the Organiser

5.1 The Organiser reserves the right to modify the programme, venue, schedule, speakers, format (including hybrid or online elements), or other Event details at any time.

5.2 In the event of cancellation or material postponement by the Organiser for reasons other than force majeure, registered Participants who have paid fees will generally be entitled to a full refund of the participation fee paid, or the option to transfer to a future edition, at the Organiser’s choice.

5.3 The Organiser is not liable for any additional costs incurred by Participants (travel, accommodation, visas, etc.) arising from changes, postponement, or cancellation.


6. Participant Obligations and Code of Conduct

6.2 The Organiser may refuse entry, remove a Participant from the Event, or ban future participation without refund in case of serious breach of these Terms or the Code of Conduct.


7. Visas, Travel, Accommodation and Insurance

7.1 Participants are solely responsible for obtaining any required visas, travel documents, insurance (including travel, health, and cancellation insurance), and making their own travel and accommodation arrangements.

7.2 The Organiser may provide information or letters of invitation to support visa applications but does not guarantee visa issuance and accepts no liability for visa refusals or delays.

7.3 Any organised transfers (e.g., Prague–Luzern bus) are subject to availability, terms communicated separately, and the Participant’s acceptance of associated risks and rules.


8. Intellectual Property and Media

8.1 All materials, branding, content, presentations, and documentation provided by the Organiser remain the property of the Organiser or its licensors.

8.2 By participating, you grant the Organiser a non-exclusive, royalty-free, worldwide licence to use your name, company name, logo, likeness, photographs, video recordings, and statements made during the Event for promotional, reporting, and archival purposes related to the Event and future editions, unless you notify the Organiser in writing in advance that you object to such use (reasonable objections will be respected where practicable).

8.3 You may not record, photograph, or distribute Event content for commercial purposes without prior written consent.


9. Data Protection (GDPR and equivalent)

9.1 The Organiser processes personal data in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR) where applicable.

9.2 Data collected during registration and the Event (name, company, contact details, business profile, dietary/accessibility needs, etc.) is processed for the purposes of organising the Event, matchmaking, communication, fulfilment of the contract, legitimate interests (networking, security, improvement of services), and legal obligations.

9.3 Data may be shared with co-organisers, venues, service providers, matching partners, and, where relevant for B2B/B2G introductions, with other participants or institutional partners, strictly for Event-related purposes.

9.4 You have rights of access, rectification, erasure, restriction, objection, and data portability where applicable. Requests may be sent to the contact address provided by the Organiser.

10. Liability and Disclaimers

10.1 The Organiser organises the Event with reasonable care but does not guarantee specific business outcomes, signed agreements, or the quality/availability of any particular meeting or introduction.

10.2 To the maximum extent permitted by applicable law, the Organiser’s total liability arising out of or in connection with the Event or these Terms is limited to the participation fee actually paid by the Participant for the relevant edition.

10.3 The Organiser is not liable for indirect, incidental, consequential, or pure economic loss (including lost profits, business opportunities, or travel costs), except in cases of wilful misconduct or gross negligence, or where mandatory law provides otherwise (including liability for death or personal injury caused by negligence).

10.4 Participants attend at their own risk. The Organiser is not responsible for loss of or damage to personal property.


11. Force Majeure

The Organiser shall not be liable for any failure or delay in performing its obligations due to circumstances beyond its reasonable control, including but not limited to natural disasters, epidemics/pandemics, government actions, war, terrorism, strikes, severe transport disruptions, or venue unavailability.


12. Governing Law and Dispute Resolution

12.1 These Terms are governed by the laws of the Czech Republic, without regard to conflict-of-law principles, unless mandatory consumer or other protective rules of another jurisdiction apply.

12.2 Any dispute arising out of or in connection with these Terms or the Event shall first be attempted to be resolved amicably. If unresolved, the courts of Prague, Czech Republic, shall have exclusive jurisdiction, subject to any mandatory consumer jurisdiction rules.


13. General Provisions

13.1 If any provision of these Terms is held invalid or unenforceable, the remaining provisions remain in full force.

13.2 These Terms constitute the entire agreement between you and the Organiser regarding participation in the Event and supersede prior understandings on the same subject.

13.3 The Organiser may update these Terms from time to time. The version accepted at registration applies to that registration, unless a change is required by law.

13.4 Failure to enforce any right does not constitute a waiver.
